SCOPEThe Sales Support Administrator provides direct administrative support to the regional sales team in the ongoing development of existing and prospective customer accounts. The position will assist in the execution of growth targets and maintain and expand relationships with house managed accounts within the region. Additionally, the Sales Support Administrator will assist the sales team with repetitive accounts, ensuring clients are serviced with a level of excellence that best represents our companies 'Core Values'.SIGNIFICANT ACTIVITIES AND DELIVERABLES------------------Act as first point of contact for the Commercial division, answer telephone calls, handle orders, trafficking post mail to appropriate personnel, and maintaining high level of customer service by responding to emailed and prospect product and service inquiries------------------Work with Sales Management, Account Managers (AM), and Business Development Managers (BDM) in all Commercial Business Channels to satisfy customers' needs and achieve sales and company goals------------------Update competitor databases by inputting data from field sales; compiling, consolidating, formatting, and summarizing information, graphs, and presentations; distributing reports------------------Update prospect database to identify appropriate contacts, qualify leads, generate interest, and drive leads through the sales pipeline; distribute reports------------------Work closely with AM's, BDM's and the Commercial Marketing team to upsell existing accounts with new promotions------------------Assist Sales Management, AM's and BDM's in the preparation of technical information for presentation purposes------------------Maintain SDS and TDS for all lubricants that company distributes and make available when needed by sales, operations, customers or regulators------------------Assemble consumer rating reports by compiling, consolidating, formatting, and summarizing information, graphs, and presentations------------------Conduct Customer Net Promoter surveys in person, via telephone, and/or electronically------------------Maintain Incident Log for issues and complaints from internal and external clientele ------------------Work with management to safeguard proper handling, resolution, and closure of customer concerns with discretion ------------------In conjunction with Sales Management, AM's or BDM's to review with customers under contract to ensure projected ROI goals are met------------------Act as a liaison between Commercial Sales and all company divisions and facilities to ensure that information is being disseminated equitably, and that items of concern are resolved in a timely manner------------------Attend sales meetings and take responsibility for sales improvement initiatives and other assigned action items------------------Work with Commercial Sales Team to develop processes and standard operating procedures as well as improvement processes where none currently exist------------------Support sales presentations by assembling quotations, proposals, videos, slide shows, demonstration and product capability booklets, and competitor analyses------------------Work directly with Sales Management, AM's, BDM's to establish customer pricing that is both profitable and competitive, by understanding and enforcing established pricing guidelines in the proposal generation process.------------------Maintain customer accounts' ship-to address and contact information, validating information directly with customer when possible, and provide accurate geofencing information to Transport Dispatch to ensure precise delivery locations for movement of transport fuel------------------Act as first point of contact for the Commercial division, trafficking post mail to appropriate personnel, and maintaining high level of customer service by responding to emailed inquiries.------------------Update job knowledge by participating in educational opportunities------------------Other duties as assigned LEADERSHIP AND TEAM REACH------------------Act as a liaison between Commercial Sales and all company divisions and facilities to ensure that information is being disseminated equitably, and that items of concern are resolved in a timely manner------------------Work with others to learn continuously, to solve unexpected problems, to break bottlenecks, and to challenge the status quo------------------Remain open to restructuring as the demands of the business unit and company change------------------Understand and live our Core Values SKILLS AND QUALIFICATIONS------------------Possess good working knowledge of Microsoft Office 365 Suite that includes; Microsoft Excel, Word, and PowerPoint and Access ------------------Enjoy work variety, be a strong self-starter, and take ownership and responsibility for completed projects ------------------Excellent planning and organizational skills, with the ability to balance multiple tasks simultaneously------------------Excellent written and verbal communication with the ability to communicate at all levels of the organization ------------------A strong ability to be adaptable and flexible with diverse personalities------------------Strong analytical and decision-making skills------------------Demonstrated strong problem solving and crisis management skills------------------Must be customer service oriented------------------Able to work in a fast-paced, deadline driven environment------------------Internet data mining capabilities a plus------------------Must be available for occasional travelPreference will be given to candidates that have working knowledge of our customers
