The Nuclear Waste Program (NWP) program within the Department of Ecology is looking to fill a TechOps Admin Assistant (Adinistrative assistant 3) position. This position is located in our Richland Field Office (RFO) in Richland, WA. The succesful candidate will serve as the principal confidential administrative assistant to the NWP Technology and Operations (TechOps) Section Manager and approximately 9 professional and technical staff within the section. Statewide impacts Duties Agency Mission: Ecology's mission is to protect, preserve and enhance Washington's environment and to promote the wise management of our air, land and water for the benefit of current and future generations. Program Mission: The Nuclear Waste Program's (NWP) mission is to lead the effective and efficient cleanup of the U.S. Department of Energy's Hanford Site, ensure sound management of mixed hazardous wastes in Washington, and protect the state's air, water, and land at and adjacent to the Hanford site. This position plays a valuable role with leading the Program's Administrative Team and ensuring there is consistency in how administrative functions are being handled, administrative support is adequately covered, and keeping the Administrative Team up to date on agency policy and procedures. Some of the key activities of the TechOps Admin Assistant position are: * Independently manage all aspects of Section Manager's calendar using MS Outlook and Ecology's online conference room scheduler. This includes, but is not limited to, scheduling internal and external meetings, trainings, and events; prioritizing meeting requests, rescheduling lower priority meetings as necessary; and ensuring that calendars are kept up to date and accurate. * Serve as the Lead to the section secretaries and receptionist, which make up the members of the NWP Administrative Support Team. Take the lead on assuring all program administrative staff are following and in compliance with Ecology and the Governor's Executive Correspondence standards and internal Nuclear Waste Program administrative procedures. Report any concerns or performance issues to appropriate Section Manager of that employee. Position performs onboarding of new section secretaries and receptionist and trains them in their duties. Conduct bi-monthly meetings with the admin team. * Creates and/or reviews all NWP purchase request orders to ensure requests comply with state regulations regarding mandatory state contracts and that, information and quantity on requests are accurate and complete, then routes to TechOps Section Manager for final approval. Responsible for maintaining adequate inventory levels of office and janitorial supplies for the Richland Office. Responsible for managing and renewing annual contracts for facility equipment and external vendors. * Maintain information and structure of the several SharePoint sites. Responsibilities include maintain and update site content, add/delete members, and ensure that the site meets agency standards for format and content. In addition, is responsible for maintaining Program's Office Layout Map, Organization Chart, and NWP Phone List using specialized Visio software and Excel. * Uses independent judgment to track and assign time-sensitive projects to section staff and Administrative Support Team and provide status updates to affected individuals. Provides note taking for team, section, and special project meetings. Transcribes and distributes notes to other staff. This recruitment will remain open until filled. Friday, 8:00 a.m. ? 5:00 p.m. Qualifications Required Qualifications: High school graduate or equivalent and three years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work. OR Formal education will substitute year-for-year for experience * Must be able to obtain a Hanford Site access badge to handle and process Official Use Only and Business Confidential documents. * Must possess and maintain a valid driver's license.
