looking to hire a TPA Section Secretary *(Secretary Senior)*. This
position will be located in our office in Richland, WA.The *TPA
Section Secretary *position supports Ecology and the NWP through
the performance of professional secretarial and administrative
support services for the Tri Party Agreement Section Manager and
staff, participates on the NWP Administrative Support Team, and
supports agency initiatives in a manner that supports Ecology and
NWP goals and objectives.We are looking for an individual who

people... Statewide impactsDutiesThe Nuclear Waste Program's (NWP)
mission is to lead the effective and efficient cleanup of the U.S.
Department of Energy's Hanford Site, ensure sound management of
mixed hazardous wastes in Washington, and protect the state's air,
water, and land at and adjacent to the Hanford site.Some of the key
work activities of the *TPA Section Secretary *position
include:Provide direct secretarial and administrative support to
the NWP Tri-Party Agreement section and Public Involvement unit.
- Perform complex word processing tasks such as preparing
correspondence from a draft or verbal instructions.
- Proofread and edit section letters, compliance inspection
reports, monthly reports, and other documents for grammar,
punctuation, spelling, clarify and formatting using agency and
program standards.
- Obtain signatures and distribute correspondence and
copies.
- Maintain a copy of outgoing section correspondence.
- Comply with Ecology standards for records management including
retention schedules.
- Provides fact sheets and other materials used for
education/outreach activities.
- Provides formatting for PowerPoint presentations used for
education/outreach.
- Provides secretarial support for State Environmental Policy Act
(SEPA) determinations.
- Uses a word processing template and checks that all fields are
completed.
- Scans signed determination and supporting information, and
provides scan files for submittal to SEPA register.
- Assists staff with question about agency, program, and office
policies and procedures. Assist staff in finding information and
forms.
- Make travel arrangements for section manager and staff as
needed. Send travel expense reports to fiscal office. Assist staff
with training requests as needed.
- Process personnel forms such as position descriptions,
innovative work schedule requests, and personnel action forms.
- Maintain working desk file for manager.
- Collate staff monthly reports to prepare monthly report for
manager's review and edit. Formats and proofreads the edited report
following program standards. Emails finalized report to Program
Manager and program staff. Prepare other reports as needed.
- Make arrangements for meetings, including scheduling, location,
hospitality and note-taking.
- Maintain manager's calendar and commit manager to attendance at
meetings.
- Inform managers of items requiring review or action; relay
messages and instructions from managers to staff.Assist/Support
Ecology and Nuclear Waste Program
- Provide backup secretarial support to other NWP section
secretaries.
- Participate in NWP Plain Talk Team meetings and document
reviews.
- Attend Secretary Support Team meetings, section meetings, and
Program All Staff meetings.
- Help maintain "New Employee Orientation Manual" and secretary
desk manual.
- Schedule employment interviews; help train new employees on
office policies and procedures.
- Participate on teams, committees, and task groups. Assist in
scheduling meetings and notifying attendees using MS Outlook.
- Schedule conference rooms using Event Management Systems.
Prepare meeting agendas; take and distribute meeting notes.
- Help establish office policies, procedures, and standards for
administrative functions.This recruitment will remain open until

applicable.QualificationsRequired Qualifications:Position requires
high school graduation or equivalent and two years of increasingly
responsible office experience requiring keyboarding or
typing.Desired Qualifications:
- Skills in the use of office equipment (e.g. personal computer,
copier, fax machine).
- Proficiency in Microsoft Word; and experience in other MS
Office programs, particularly Outlook and Excel.
- Format and edit documents to meet Ecology formatting, grammar,
punctuation, and Plain Talk standards.
- One year of experience working in an office providing
administrative support to manager and multiple staff.Special
Requirements/Conditions of Employment:Must be able to obtain a
Hanford Site access badge to handle and process Official Use Only
