Job Description:

Position Title: Bookkeeper/ Administrator Job posted : December 28, 2020, Open until filled. Full-time, paid hourly. Position Summary: The Administrator is accountable to the President and supports the Allied Arts Board of Directors, maintains, organizes, and monitors operational, business and financial activities to assist in ensuring the organization's overall viability and effectiveness. The successful candidate will be able to demonstrate prior financial administrative experience. Brief Description of duties and responsibilities (See Full job description for details*): -Generate a number of financial reports, including: profit and loss, balance sheet, budget(s), payroll, payroll taxes, and any other accounting documents monthly, and as needed, using Quickbook. - Perform monthly bank reconciliation and artist sales reconciliation. Perform financial administration of contracts and grants. -Generate and process payroll, monthly and quarterly payroll tax reporting and payment, and year end 1099 and W2 report for accountant. -Communicate and support members of the board, committee chairs, volunteers, artists, customers, and community representatives. -Generate and/or review written communications, utilizing organizational, detail oriented, customer focused skills. -Attend and support monthly board meetings. -Manage and maintain inventories/databases to allow smooth, efficient operation. -Ensure building and public access areas are safe, secure, maintained and organized. -Manage and maintain business sensitive information and documents, general files, committee information files, donation and grant files. - Desired but not required: ability to maintain Gallery website and online sales site. -Other duties as assigned. *Full job description is located on our website at Qualifications and Requirements : Education : College degree or some college is desirable, with emphasis in business administration, accounting, finance or related fields. Related courses, workshops, conferences and seminars will be considered. Experience : A minimum of 3-5 years related bookkeeping/administrative experience preferably including nonprofits. Prior experience in a responsible position utilizing independent judgment, detail orientation, time management, and effective oral and written communication. Proven skills in computer software ( Quickbooks , Excel, Word) and ability to utilize standard office and business equipment. Knowledge and ability to conform to applicable laws, codes, regulations and policies related to nonprofit 501(c)3 status, federal and state taxes, and employees and payroll. Location, Hours, and Physical : Work is performed primarily at the Gallery Office as a full-time position, paid hourly. Requires ability to stand, bend, stoop, reach and lift up to 25 pounds. Other: Must have current valid Washington driver's license. Position requires bonding, satisfactory criminal background check, and favorable credit background check.
